Through our open architecture recordkeeping services, we provide investment advisors, managers, plan sponsors and participants access to traditional and non-traditional investments.

The Operations Department

Join our growing Operations Team and take a role focused on developing, implementing, and overseeing many exciting strategic initiatives to support our company with growing. You will collaborate with leadership to identify, prioritize, develop, and manage key operational initiatives that drive performance and operational efficiency.

Responsibilities In Your Role

Strategy

  • Oversee company’s Operational Excellence Strategy
  • Work directly with the CEO and leadership team to create, contribute to and collaborate on annual strategies, engage in forecasting and goal planning
  • Engage in long-term planning (ex. 5-year strategic growth plan) and identify initiatives that further the company’s overall goals

Business Operations & Performance

  • Lead operations design and execution across departments
  • Develop operational metrics and implement a KPI measuring and reporting system
  • Evaluate operational procedures and implement methods of continuous improvement
  • Regularly audit operational protocol to minimize mistakes and ensure timely delivery of services
  • Proactively identify recommend and implement enhancements and improvements for operational efficiency
  • Key stakeholder for business continuity plan
  • Keep abreast of operations related industry trends and make informed recommendations for adoption of changes, including those that take advantage of market changes
  • Attend training opportunities, read, and share industry knowledge, regularly participate in coursework to either earn or maintain professional designations.
  • Coordinate with different teams to foster exchange of ideas and provide cross-team learning opportunities
  • Positively influence the team members; effectively mediate concerns, offer encouragement and praise, and build good working relationships

Project & Client Management

  • Develop and support operations that fulfill full-cycle ongoing and annual work for our book of business
  • Manage end to end operational projects, including deployment of technology applications, workflow and reportings/metrics
  • Provide backup/overflow support for various departments, especially during governmental deadlines.
  • Maintain strategic relationships with vendors and internal stakeholders
  • Communicate comprehensively and timely with team members, advisor(s) and/or referral partners concerning client issuesAnticipate needs of our clients and partners, support a book of business, including advisors and other partnerships
  • Support and coordinate with teams responsible for servicing our clients and partners.
  • Develop and conduct training for new services and platforms

Financial Management

  • Establish & implement strategies to manage operational costs and drive operational efficiency
  • Assess and analyze departmental budgets, identify and recommend ways to minimize expenses and optimize profits
  • Identifying potential problems and points of friction and work to find solutions that maximize efficiency and revenue
  • Assist HR in recruiting and hiring process, implementing policies and strategies to improve productivity and efficiency levels.

Qualifications

Qualifications

  • Bachelor’s degree or minimum of 5 years related experience is preferred.
  • Experience in retirement plan, investment or banking industries is preferred.
  • Superb communication skills and a commitment to superior customer service.
  • Excellent attention to detail and accuracy, proficient with numbers and basic calculations.
  • Solutions oriented and ability to handle changing and competing responsibilities.
  • Strong command of technology including Sharepoint, and ability to learn new software solutions easily and quickly.
  • Proficiency is required with Excel, Word, Outlook, Adobe Acrobat
  • Works well with a team, including other team members who work remotely/virtually.
  • Creative participation and forward-looking contribution to team activities and company progress.
  • A demonstrated record of accomplishment of consistently meeting and/or exceeding performance expectations.
  • Possesses a preference for proactivity, avoids workplace distractions, and drives performance targets to completion.
  • Thrives in a fast-paced environment.
  • Possesses strong innate ability to switch gears between finance and human resource tasks as needed
